ITEM IN STOCK - AVAILABILITY BY EVENT

Scenario: Where in the queue is a customer?

  • Search for items in BC

  • Item > Item Availability > by Event

  • Location filter: Desired warehouse

  • View by: Year

  • Press "Recalculate" if it looks messy.

  • If a customer is at 0, they get the last product.

  • NOTE! There may be people earlier in the queue with status "PIS" whose product we may be able to book  for another customer — check with OPS if this is possible.


ITEM IN STOCK - QUICK SEARCH ON ORDER


VARIANT QUANTITY

Scenario: How many items do we have in a specific warehouse?

  • Search for "Variant Quantity" in BC

  • Search for a specific warehouse in the left column if you don’t want to see all warehouses

  • Search for the item

    • Quantity on hand: Total inventory

    • Quantity on Sales order: Products on order

    • Available: Products available for ordering

  • NOTE! To check the Jaguar table, you need to check the legs and top separately!



POSTED SALES SHIPMENTS

Scenario: From which warehouse was an item shipped when the order/invoice was posted?

  • Search for "Posted Sales Shipments" in BC

  • Search by customer number or name



POSTED SALES CREDIT MEMOS

Scenario: To which warehouse was an item credited?

  • Search for "Posted Sales Credit Memos" in BC

  • Search by customer

  • Copy the document number for the credit — e.g., 106322

  • Go to Item Ledger Entries
  • Search using the document number to see which warehouse the item was credited to



ITEM LEDGER ENTRIES (Item Transaction History)

Scenario: Check how items have moved in and out of inventory

  • Search for Items

  • Click on the Inventory number = Opens the Item Ledger Entries list

  • Click on the Cost Amount = Opens the specific item transaction

  • Scroll to the right and click on the Source Number (customer number) = The customer’s order will appear

  • Click on the order



SALES LINES

Scenario: Which order is a specific product on?

  • Search for Sales Lines

  • Search by item

  • Filter by the desired warehouse in the item line if needed

  • Select the desired item line (highlight it in blue)

  • Click Show Document = Opens the related order



ITEM JOURNAL

Scenario: A product needs to be inventory-adjusted — Only used in urgent/special cases — Check with OPS first

Steps:

  • Search for Item Journal

  • Choose positive or negative adjustment

  • Item Number: e.g., BAG-S

  • Variant Code: e.g., LE (leather)

  • Description: Product

  • Location Code: Desired warehouse

  • Quantity: Number of products

  • Add a new line for fabric if it’s furniture (Only Baloo is stocked among the sofa bed fabrics)

    • Quantity: Number of running meters — can be found in Chrystallize under products

  • Post


ITEM RECLASSIFICATION JOURNALS

Scenario:

  • A product has been credited to or delivered from the wrong warehouse

  • A product has been delivered from multiple warehouses when the order was posted

  • A product needs to be moved between warehouses

Steps:

  • Search for Item Reclassification Journals in BC

  • Item Number: e.g., BAG-S

  • Variant Code: e.g., LE (leather)

  • Description: Product

  • Quantity: Number of products

  • Add a new line for fabric if it’s furniture (Only Baloo is stocked among the sofa bed fabrics)

    • Quantity: Number of running meters — can be found in Chrystallize under products

  • Location Code: Current warehouse

  • New Location Code: The warehouse the product should be moved to

  • Post
